Change doesn’t need to be hard — with the right mindset and tools, your team can navigate it confidently.
That was the central message of our recent change management webinar with Natalia Wegner, Consultant & Manager at Deloitte, who has led HRIT transformations in both large corporations and midsize organisations.
In this blog post, we’ve gathered the key insights from that conversation and translated them into practical advice for music and art school leaders who are preparing for system changes, workflow optimisation or broader digital transformation.
Across organisations of all sizes, Natalia sees the same patterns:
When we talk about “change”, many of us immediately think of software, features and timelines. But as Natalia emphasised, change management is first and foremost about people, people and structure.

In practice, that means:
Natalia highlighted a few practical toolsthat any Music or Art school can use:
Before diving into screens and settings, bring your key people together and agree on a few guiding principles, such as:
These principles help streamline decision-making and keep it consistent.
Take one or two hours to map out:
This keeps your communication and training focused and relevant.
Identify a handful of people who are:
Involve them early. Give them insights. Let them test things first.
When trusted colleagues say “This new system actually helps us,” it carries far more weight than any official announcement.
Technology alone doesn’t create successful change, the difference is created by mindset and communication.
From Natalia’s experience, successful leaders in digital transformation consistently:
→ Lead by example
When leaders champion the new system, the rest of the organisationfollows more naturally.
→ Give teams autonomy within clear frames
Leadership sets the vision and principles; project teams decide how to implement them.
→ Create psychological safety
People need to feel safe to speak up and that it is okay to:
This must happen without fear of blame. Keep reinforcing the vision. It’s not enough to explain the “why” once. Try starting meetings with a quick reminder of the "why", such as:
“We’re doing this to reduce admin, free uptime for teaching and give families a better experience.”
And yes — building in small moments of fun matters too. Informal connections make collaboration easier when the project enters more challenging phases.
To close the webinar, Natalia summarised her message in three core points that apply directly to Music and Art schools:
Everyone should know why you are changing, and what success looks like.
Don’t copy generic change management checklists. Choose communication, training and structures that fit your school, your culture and your people.
Create a culture where learning, curiosity and feedback are welcome. When people feel safe and involved, change feels lighter – even when it’s challenging.
At SpeedAdmin, we know that moving to a new administration system or optimising digital workflows is never “just” a simple system switch. It’s about much more than that:
We don’t see ourselves only as a software provider, but as a trusted digital partner who helps schools strengthen their workflows, mindset and digital maturity. That goes hand in hand with our mission, vision and values – and we do our very best to share our expertise and experience with every single school, so you emerge stronger and gain a real competitive advantage.
